BOWEN Workforce Solutions was using Microsoft Dynamics™ GP for their accounting and payroll needs, however they were using a third party module to handle the staffing side of their business. The third party module was a project accounting solution, not specifically developed for the staffing industry. As a result, the data entry, set up requirements and the degree of obsolete functionality throughout lead to additional work and considerable resources that were required just to enter data and reconcile the separate systems.

 

The main challenges identified included:

  • The amount of double keying of data in various areas of the system was very labor intensive.

  • A large number of steps involved in entering data.

  • System instability and user frustration.

  • The degree of checking and reconciliations required throughout the pay/bill process.

  • The Invoice Adjustment process was cumbersome and not all correcting entries were created.
    Need for system audit ability.

 

BOWEN wanted to move to a solution that allowed for easy set up and data entry which would free up staff for more rewarding job tasks. The decision was made to implement Professional Advantage's PAM module, providing robust staffing functionality for their current Microsoft Dynamics™ GP environment.

Industry Solution


As PAM was written specifically for the staffing industry, it allowed for an "out of the box" implementation that utilized Microsoft Dynamics™ GP General Ledger, Accounts Receivable, Canadian Payroll and Accounts Payable modules. While PAM was able to handle all BOWEN's current invoicing and accounting needs, the added benefit of all pay and bill data housed within one solution allowed to drastically reduce the reporting times and the number of custom reports.


Increased Staff Efficiency and Reduction in Errors


Through the use of the PAM timesheet entry screen, BOWEN is now able to quickly and easily enter their time into the system. Efficiency has increased as a result, specifically with regards to setting up of new jobs, entering of timesheets and the invoice process. The biggest impact noticed by BOWEN is the reduction in data entry errors. Having the ability to store the pay and bill rates on the job allows the data entry process to be cleaner and less prone to errors. BOWEN now has timely, accurate, efficient and repeatable processes. Front Office Integration BOWEN is currently working with Professional Advantage on a real time integration between their front office system (Adapt) and Dynamics™ GP/PAM to cut out the need to key any master data into the back office solution.
